Free CRM with AI for small business: what to look for in 2026

Search for a free CRM with AI and you get dozens of options, and almost every one of them promises artificial intelligence. For a small business the label matters less than a few practical questions. Here is the checklist we use ourselves, followed by how Ali-E CRM answers it.

1. What exactly is free

Many free plans cover contacts and a pipeline, then charge for the things you need next: more users, automation, documents, integrations or storage. Read the limits before you move your clients. A free plan is only useful if it lets you run real work for months, not days.

2. Does the AI do work or only chat

A chat that explains which buttons to press saves little time. Useful AI performs actions: it replies to a client, creates a task or an invoice, builds a report and flags overdue payments. Ask every vendor for a concrete list of actions.

3. Does it answer from your data

An assistant should answer questions about your clients, deals and money from your own records, not from general knowledge. Look for retrieval over your data and clear access rules, so that a sales manager does not see what an accountant sees.

4. Where your clients write

If your clients write in WhatsApp, Telegram or Instagram, the CRM should treat messengers as a main channel, with replies inside the client card and automatic answers outside working hours.

5. What happens after the deal

Invoices, shipments, stock, payments and profit are where many CRMs stop and spreadsheets begin. If you sell goods or services with documents, having them in the same system saves hours every week.

6. Your data and security

Check how data is separated between companies, who can export it and how files are shared. Isolation in the database itself (row-level security) is a stronger guarantee than permissions that exist only in the interface.

How Ali-E CRM answers the checklist

During the open beta every Ali-E feature is free, with no card. After launch the free plan stays, and paid plans start at $29 per month per company. The assistant performs more than a hundred actions and asks for confirmation before money moves. It answers from your own records and respects roles and module permissions. The AI sales manager replies in Telegram, WhatsApp and Instagram around the clock. Inventory, finance, documents with e-signature and reports share one database, and every company's data is isolated with row-level security.

The best way to choose is to try. Move one real process, such as the leads from one messenger, into the CRM for two weeks and see whether the team keeps using it.
